Privacy Policy

This policy describes what information TopFaculty (“we”, “us”) collects from visitors to www.topfaculty.com, how we use it, and the choices you have. We've aimed to keep this document short and plain-spoken.

What we collect

Anonymous browsing

You can browse, search and filter every public page on TopFaculty without creating an account. We collect aggregate, anonymous analytics about page visits (referrer, country, device type, page path) through our analytics provider. We do not use third-party advertising cookies and we do not track you across other sites.

Email alerts

If you subscribe to job alerts, we store your email address, the filter preferences you selected (discipline, state, designation, job type, keyword), your chosen frequency (instant, daily or weekly), and the IP address used at signup (as a soft anti-abuse measure). We use this information solely to send you the digest you signed up for.

Institution submissions

Institutions that email post@topfaculty.com share their recruitment details with us. We process those details to publish a public listing. Contact emails included in a posting (for candidates to apply) appear publicly on the listing page.

Faculty network profiles

If you create a profile in our faculty network, we store the details you provide — your name, email, current role, institution, location, experience, research interests and anything else you add. We verify your email before publishing. Once published, your profile (including your email as a contact) is visible in our directory to people looking to hire faculty. You can edit, hide, or delete your profile at any time, and withdraw consent via our data request page.

Our legal basis

Under India's Digital Personal Data Protection Act, 2023 we process personal data on these bases: your consent (job alert subscriptions and any profile you create) and legitimate uses permitted by the Act (security, fraud and abuse prevention, and responding to your direct communications). You can withdraw consent at any time; withdrawal does not affect processing already carried out before you withdrew.

How we use it

  • To operate, secure and improve the service.
  • To send job alert digests you subscribed to.
  • To respond to your direct emails.
  • To detect abuse, fraud and spam.

What we don't do

  • We do not sell or rent your email address.
  • We do not share your email with the institutions whose jobs we list.
  • We do not run third-party advertising or behavioural ad networks.
  • We do not require you to create an account to browse jobs.

Cookies

TopFaculty does not use tracking cookies. Our analytics provider records anonymous traffic measurements without setting third-party cookies. If you log into an administrative interface (institution editors only), we set a strictly-necessary session cookie that is deleted when you sign out.

Email choices

Every alert email includes an unsubscribe link that removes you with one click — no login, no friction. We also support the RFC 8058 List-Unsubscribe header, so Gmail/Yahoo's inbox unsubscribe button works too.

Your rights

You have the right to:

  • Access a summary of the personal data we hold about you and how we use it.
  • Correct, complete or update inaccurate data.
  • Erase your data when it is no longer needed for the purpose you gave it for.
  • Withdraw consent at any time (for example, the one-click unsubscribe in every email).
  • Nominate another person to exercise these rights on your behalf in the event of death or incapacity.
  • Grievance redressal — raise a complaint with us and receive a response.

We aim to respond within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

Who processes data for us

We use trusted service providers to run TopFaculty: hosting and database (Supabase), application hosting and analytics (Vercel), email delivery (Resend), error monitoring (Sentry), and AI-assisted parsing of submitted recruitment material through OpenRouter and its configured model provider (currently Google Gemini). They process data only on our instructions. Some are located outside India; the Act permits such transfers except to countries restricted by the Government, and we do not transfer your data to any such restricted country.

Data retention

We keep personal data only as long as the purpose requires it. Active alert subscriptions are kept while your subscription is active and you engage with our emails. If you stop engaging for 18 months, we will email you a reminder and then delete your subscription if you remain inactive. After you unsubscribe, we retain the address for up to 30 days for support and suppression handling, then replace it with a hashed suppression marker so we honour your choice without keeping the raw address indefinitely. Security logs such as IP addresses used for rate-limiting are deleted after 30 days.

Security

We host data on managed cloud providers with industry-standard encryption in transit (TLS) and at rest. No system is perfectly secure; if we ever discover a breach affecting your data we will notify you promptly.

Children

TopFaculty is intended for adult educators and institutions. We do not knowingly collect information from anyone under 18.

Changes to this policy

We may update this page from time to time. Material changes will be announced via a banner on the site for at least 30 days.
